How to Use ChatGPT to Write Better Business Proposals

The Problem with Proposals

Writing proposals takes forever. You know the drill: stare at a blank document, write an intro, delete it, start again, copy from a previous proposal, realise half of it doesn't apply, and spend 3 hours producing something that's "fine."

ChatGPT can cut that to 30 minutes. But only if you use it properly.

Step 1: Build Your Prompt

Don't just say "write me a proposal." Give ChatGPT everything it needs. Include: what the client does, what problem they have, what you're proposing, the deliverables, the timeline, the pricing structure, and your company's relevant experience.

The more context you provide, the less editing you'll need to do.

Step 2: Structure First

Ask ChatGPT for a proposal structure before the full draft. Review the sections. Adjust the order. Remove anything irrelevant. Add anything missing. Then ask it to fill in each section one at a time.

Working section by section gives you more control over the quality and lets you catch issues early.

Step 3: Inject Your Voice

ChatGPT's default tone is professional but generic. After the first draft, prompt it to adjust: "Rewrite this in a confident, direct tone. Short sentences. No jargon. Focus on outcomes, not process."

Better yet, give it examples of your previous proposals so it learns your style.

Step 4: Add the Human Touch

AI-generated proposals are good starting points. But the parts that win the deal are the ones that show you understand the client's specific situation. Add a personalised opening paragraph that references something specific about their business. Include a case study from a similar client. Mention a detail from your initial conversation.

These touches can't be automated. They're what separate a winning proposal from a template.

Step 5: Review and Polish

Read the whole thing out loud. If any sentence sounds like it was written by a robot, rewrite it. Check all numbers, dates, and names. Make sure the pricing section is clear and complete.

The Result

You go from 3 hours to 30 minutes. The proposal is better structured, more comprehensive, and more persuasive. And you've spent your energy on the parts that matter instead of wrestling with formatting and filler text.
