How to Prompt AI for Better Results: A Business Owner's Guide

The quality of AI output depends entirely on how you ask. Here's how to write prompts that get real results.

Why Most People Get Bad Results

"Write me a marketing email." That's a bad prompt. It gives the AI zero context about your business, your audience, your goal, or your voice. The output will be generic because the input was generic.

Good prompts are specific, contextual, and structured.

The Framework: RICE

Role: Tell the AI who it is. "You are a direct-response copywriter specialising in B2B services."

Input: Give it the raw material. "Here's our service description, target audience, and three testimonials."

Context: Explain the situation. "This email is a follow-up to someone who downloaded our free guide but hasn't booked a call."

Expected output: Be specific about what you want. "Write a 150-word email with a subject line, one clear CTA, and a conversational but professional tone. No jargon."

Level Up: Examples and Constraints

Include an example of what good looks like. "Here's an email we sent last month that had a 35% open rate. Match this style."

Add constraints. "Maximum 3 paragraphs. No exclamation marks. No 'Dear [Name]' opening."

For Complex Tasks: Break It Down

Don't ask AI to write an entire proposal in one prompt. Ask for the structure first. Review it. Then ask for each section individually. Build the document in stages and you'll get dramatically better output.

The Iteration Principle

Your first prompt rarely produces perfect output. That's normal. Use the output as a starting point and refine. "This is good but too formal. Rewrite in a more conversational tone. Shorter sentences. More direct." Two or three iterations usually gets you there.

Save Your Best Prompts

When you find a prompt that consistently produces great output, save it. Build a library of prompts for your common tasks: email templates, content briefs, analysis frameworks. This compounds over time.

Beyond Prompting

When you need AI that works without prompts, automatically processing data, generating reports, and taking actions, that's a custom system. OrcaScale builds AI systems that run on autopilot for SMEs.
