How to Build One That Works

Step 1: Map Your Questions

Look at your last 100 customer enquiries (emails, DMs, phone calls). Group them by topic. You'll find that 10-15 question types account for 80% of all enquiries. That's your chatbot's knowledge base.

Step 2: Write the Answers

For each question type, write the ideal answer. Not a corporate FAQ. A real, helpful response in your brand voice. Include any relevant links, next steps, or qualifying questions.

For simple chatbots: Chatbase, Intercom, Tidio, or Drift. These let you upload your knowledge base and deploy a chatbot with minimal setup. For custom chatbots with deeper integration: build with the Claude or ChatGPT API. This gives you full control over the conversation flow, tone, and actions the chatbot can take.

Step 4: Train and Test

Feed your chatbot the knowledge base. Test it with every question type. Test edge cases. Test rude customers. Test confused customers. Adjust the responses until the output is consistently good.

Step 5: Set Escalation Rules

Define exactly when the chatbot should hand off to a human. Common triggers: customer mentions a complaint, asks about something not in the knowledge base, or explicitly asks for a person.

Step 6: Deploy and Monitor

Put it live. Monitor the conversations for the first two weeks. Look for questions it handles poorly, topics it doesn't cover, and opportunities to improve the responses. Update the knowledge base weekly for the first month.
